Entering Attendance

How teachers enter attendance in Faculty Access for the Web depends on how Registrar’s Office is set up. If the academic year is set up to track attendance by class or day, teachers enter attendance in each class. If the academic year is set up to track attendance by day only, teachers enter attendance for each day.

 

Entering Class Attendance

You can enter attendance for each of your classes. If a day attendance entry exists for a student, that attendance entry appears for all of the student's classes on that day, but you cannot edit it.

 

  1. On the Home page, select the school, academic year, and session in which to enter attendance.
  2. Click Attendance on the navigation bar. You can also click the calendar beside a class name on your class list on the Home page to go directly to the Attendance page for the class.

  1. The Attendance page for your current class meeting appears. If none of your classes is currently meeting, the Attendance page opens to your first scheduled class in the selected term.

Click Customize to control the dates appearing in the grid.

Enter attendance codes for students in classes.

 

 

  1. You can also select the term and class for which to enter attendance in the Term and Class fields. If you do not see the correct class meetings, click Customize on the grid to select the dates to appear in the grid.

 

Note: For the grid to load faster, select a short date range.

  1. In the Dates to Include field, you can select a general range such as “Today”, “This Week”, or “This Month”, or you can select “<Specific Range>” and enter a specific date range in the Start and End fields. We highly recommend you do not select a large range of dates to appear in the attendance grid at one time, because the grid will take longer to load.

  2. To return to the Attendance page, click OK.
  3. To enter attendance for students, select attendance codes in the grid. Each column represents a class meeting. The day, date, and meeting time appear in the column heading.
  4. To enter details and comments about an attendance entry, in the cell for the attendance code, click Details. The Details screen appears.
  5. Enter the attendance code, select a call type, and enter comments. To close the Details screen and return to the Attendance page, click OK.

Note: You can use the arrow buttons on the screen to scroll through students in the class list and enter attendance codes and details.

  1. After you enter attendance for a class meeting, select “Yes” in the Attendance Taken row below the class meeting column heading.
    Note: On your class list on your Home page, you can see whether you have entered attendance for your classes on the current date. A red calendar indicates classes without attendance taken for the current date. This means that “No” is selected in the Attendance Taken row for the class meeting on the Attendance page. A blue calendar indicates classes with attendance taken for the current date. This means that “Yes” is selected in the Attendance Taken row for the class meeting on the Attendance page. You can click a calendar to go to the Attendance page for the class.

  2. To save attendance, click Save.

 

Entering Day Attendance

Depending on a business rule set in Registrar’s Office, you enter attendance either in your homeroom or in a class meeting at a specific time. You can view attendance in all of your classes, but only the days and the homeroom or class meeting in which you can enter attendance are enabled.

 

  1. On the Home page, select the school, academic year, and session in which to enter attendance.
  2. Click Attendance on navigation bar.

  1. The Attendance page for the current term appears. You can also select a term for which to enter attendance in the Term field.
  2. If you enter attendance in homeroom, “Homeroom” appears in the Class field. (You can select a class to view, but not edit, attendance.)

If you enter attendance in a class meeting at a specific time, select the class in the Class field.

  1. If you do not see the correct dates, click Customize on the grid to select the dates to appear in the grid.

  5. Enter the attendance code, select a call type, and enter comments. To close the Details screen and return to the Attendance page, click OK.

  1. After you enter attendance for a date, select “Yes” in the Attendance Taken row in the date column.
  2. To save attendance, click Save.

To go to the cell below, press Enter.

To go to the cell to the right, press Tab.

To go the cell to the left, press Shift+Tab.

To open the Details screen for an attendance entry, press F7.
